Who we are

Skolo is operated by Cognifai Ltd ("we", "us", "our"), registered in the United Kingdom. Skolo is a mobile app that helps parents manage school events, letters and dates for their children.

What data we collect

We collect only what is necessary to run Skolo. All data is linked to your account and used solely for app functionality — never for advertising or tracking.

• Name & email address: collected when you sign in with Apple or Google and linked to your account.
• User ID: a unique identifier assigned to your account to keep your data separate from other users.
• Photos & images: photos of school letters you upload to extract event dates. Images are processed and not stored permanently.
• Pasted or typed content: text you paste or type into the app — such as WhatsApp messages, club emails or SMS texts — used to extract event dates. We only see content you actively share with us.
• Other user content: school event text, notes and actions you enter manually.
• Children's information: first names only. No date of birth or other identifying information is required.
• Device ID: used to deliver push notifications for upcoming events.
• Purchase history: your subscription status (Free or Pro) to unlock features. Full payment details are handled by Apple — we never see your card details.

How we use your data

We use your data solely to:

• Provide and improve the Skolo app and its features.
• Send you notifications about upcoming school events.
• Extract event dates from content you paste, photograph or type into the app.
• Respond to your support requests.
• Comply with our legal obligations under UK law.

We do not sell your data, use it for advertising, or share it with third parties except the services listed below.

Third-party services

We use the following providers to operate Skolo:

• Supabase — database and authentication (EU servers, Ireland)
• Apple & Google — sign in and in-app purchases
• Resend — transactional emails

Each provider's own privacy policy applies to data processed by their service.

AI processing

Skolo uses artificial intelligence to extract event dates, deadlines and actions from content you provide — such as photos of school letters, pasted text, or approved emails. This processing happens on secure cloud servers and is used solely to provide the app's features to you.

We do not use your content to train AI models. Your letters, emails and pasted text are processed to extract events and are not stored beyond what is necessary to deliver the service.

Children and family data

Skolo is designed for parents and adult guardians. We do not knowingly collect personal data directly from children. Any information about children entered into Skolo is provided by the parent or guardian and is used solely to personalise that adult's experience of the app.

We treat data relating to children with particular care and do not use it for advertising, profiling or any purpose beyond delivering the core Skolo service to the parent.

Legal basis for processing (UK GDPR)

We process your personal data on the following legal bases:

• Contract: processing necessary to provide the service you have signed up for.
• Legitimate interests: improving our product, preventing fraud, and ensuring security.
• Consent: for any optional data collection or features you explicitly enable.
• Legal obligation: where we are required to retain or disclose data by law.

Data storage and security

Your data is stored securely on Supabase servers in the EU (Ireland). We use industry-standard encryption for data in transit and at rest.

We retain your data for as long as your account is active. If you delete your account, all personal data is permanently deleted immediately.

Account deletion

You can delete your account at any time from Settings → Delete account in the app. This permanently removes all your events, children, and personal data. There is no waiting period.

Your rights

Under UK data protection law, you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate or incomplete data.
• Erase your data ("right to be forgotten").
• Restrict or object to certain types of processing.
• Data portability — receive your data in a structured, machine-readable format.
• Withdraw consent at any time where processing is based on consent.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies

Our website may use essential cookies to ensure it functions correctly. We do not use advertising or tracking cookies.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, where appropriate, notify you via the app.
